Privacy Policy

EFFECTIVE OCTOBER 7, 2026LAST UPDATED OCTOBER 11, 2026

This policy explains what personal information Systemside collects, why we collect it, who we share it with, and the choices you have. It applies to this website, our enquiry forms, and the communications we send.

1. Who we are

Systemside ("Systemside", "we", "us") is a marketing and growth partner for service businesses, operated by SystemSide, registered in Blagoevgrad, Bulgaria. For the personal information described in sections 2 to 6, we are the data controller.

2. Information we collect

Information you give us. When you fill in an enquiry form, book a call, email us or become a client, we collect your name, email address, business name, social media handle, phone number if you provide it, and anything you tell us about your business and goals.

Information collected automatically. When you visit the site, we and our hosting provider receive technical data such as IP address, browser and device type, pages viewed, referring page and approximate location. We do not use analytics or advertising cookies to collect it (see section 11).

Information from third parties. If you respond to one of our ads, platforms such as Meta or Google may pass us the details you submit in a lead form, along with campaign information about the ad you responded to.

We do not ask for sensitive information such as health, financial account or government ID details. Please don't send it to us.

3. How we use it

  • To reply to your enquiry, schedule calls and prepare proposals.
  • To deliver the services you sign up for, including campaigns, creative, websites and platform setup.
  • To send service messages such as appointment reminders, invoices and account updates.
  • To send marketing emails or texts, only where you have agreed or the law allows. You can opt out at any time.
  • To measure and improve our website and advertising.
  • To keep our systems secure, prevent fraud and meet legal obligations.

We do not sell your personal information, and we do not use it for automated decisions that have legal or similarly significant effects on you.

4. Legal bases

Where the EU or UK GDPR applies, we rely on: contract, to respond to requests and deliver services; legitimate interests, to run, secure and improve our business, balanced against your rights; consent, for non-essential cookies and marketing messages, which you can withdraw at any time; and legal obligation, for tax, accounting and regulatory records.

5. Who we share it with

We share personal information only with service providers who help us run the business, under contracts that limit how they can use it:

  • Extendly and its underlying CRM and communications infrastructure, which power our client platform, call handling, messaging and booking.
  • Advertising platforms such as Meta and Google, to run and measure campaigns.
  • Hosting, email, scheduling, payment and analytics providers.
  • Professional advisers such as accountants and lawyers, and authorities where the law requires it.
  • A buyer or successor if Systemside is involved in a merger or sale, subject to this policy.

6. Calls and text messages

If you give us your phone number and agree to receive texts, we may send messages about your enquiry, appointments and account. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help at any time.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties. This excludes the messaging providers that deliver the texts on our behalf.

Calls handled through our platform may be recorded or transcribed for quality and follow-up. Where required, you will be told at the start of the call.

7. Data we handle for clients

When we run campaigns, call handling, messaging or booking for a client, we process their customers' information on the client's instructions. In that role the client is the controller and we are a processor. If you are a customer of one of our clients, please contact that business directly about your data. We will help them respond.

8. International transfers

Some of our providers are based in the United States and other countries. Where we transfer personal data out of the EU, UK or another region with transfer rules, we rely on adequacy decisions, Standard Contractual Clauses or other lawful safeguards.

9. Retention

We keep enquiry information for up to 24 months after our last contact, client records for the length of the engagement plus the period required for tax and legal purposes, and cookie data for the periods listed in section 11. After that we delete or anonymise it.

10. Your rights

Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, to object to or restrict certain uses, to withdraw consent, and to opt out of targeted advertising. California residents have the right to know, delete and correct, and to not be discriminated against for using these rights. We do not sell or share personal information for cross-context behavioural advertising without consent.

To make a request, email [email protected]. We will reply within 30 days and may need to confirm your identity first. You can also complain to your local data protection authority.

11. Cookies

Cookies are small files stored on your device. We do not use analytics or advertising cookies. The site only uses the essential storage below, which it needs to work and which is not used to track you.

12. Security

We use encryption in transit, access controls, and reputable providers to protect your information. No system is completely secure, so we cannot guarantee absolute security, but we will notify you and the authorities of a breach where the law requires.

Our services are for businesses. We do not knowingly collect information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.
